The Receptionist / Office Coordinator is responsible for a wide range of administrative and office support-related tasks. This is a full-time position working 8 a.m. – 5 p.m., Monday-Friday at our Blaine office.

The ideal candidate would have organizational skills, flexibility, and the ability to handle the administrative challenges of supporting a small group of diverse people and projects. This position also requires the ability to interact with staff (at all levels), sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with professionalism and confidentiality. Expert-level written and verbal communication skills and attention to detail are equally important.

Primary Responsibilities:

  • Answer telephones and transfer to appropriate staff members.
  • Meet and greet clients and visitors.
  • Accounts payable and accounts receivable processes
  • Incoming and outgoing mail.
  • Sign for and distribute UPS/Fed Ex/Airborne packages.
  • Project invoicing on a monthly basis, or more frequently as needed.
  • Create and modify documents using Microsoft Office.
  • Perform general clerical duties including but not limited to scanning, photocopying, binding, faxing, mailing, and filing.
  • Assist in the publication and distribution of bound reports.
  • Maintain hard copy and electronic filing system.
  • General office upkeep including ordering and organizing office supplies.
  • Setup and coordinate meetings and conferences.
  • Support staff in assigned project-based work.
  • Other duties as assigned.

Knowledge & Skill Requirements

  • Basic reading, writing, and arithmetic skills are required.
  • High computer application literacy including Microsoft Office Suite, and ability to learn internal business systems.  Experience with invoicing software Deltek Vision is desirable.
  • Accounts payable and receivable experience
  • Professional verbal and written communication skills and the ability to type 50 wpm.

Ability to work overtime when needed.
